Onboard a new workspace
Complete setup for a new franchisee: workspace, user, location, socials, ad config, and budget.
For Hub admins
Plan about 20 minutes for the Hub-side setup. The franchisee finishes their part during the onboarding call.
Run these steps in order for every new franchisee. The Hub admin completes the first five steps, then the franchisee finishes the last two on the kickoff call.
What you need before you start
- The franchisee's full name and email
- Location name as it should appear in marketing (for example,
Brand Name - City) - Physical address, phone, and business hours
- The agreed monthly budget
- Admin access to the brand's Meta ad account and pixel
Hub admin setup
Create the workspace and owner account

Go to Organization, open the Workspaces tab, and click Add Workspace. Give it the location name as it should appear in marketing.
Then open Organization > User Seats, invite the franchisee by email, and assign the Workspace Owner role on the new workspace.
Update the Location table
From the Hub, open Hub Locations and add the row for this workspace. Fill in the address, phone, business hours, and neighborhoods, plus any brand-specific custom variables.
Connect socials, ad account, and pixel

Switch into the workspace context. Open Connected Accounts and click Connect Facebook, then choose the location's pages.
Link the brand's Meta ad account, and connect the brand pixel so conversions are tracked from day one.
Configure the Ad Configuration table

Open the workspace's Ad Configuration table, create the audience types, and set the defaults. Before you finish, confirm:
- Audiences (Database, Mass, Lookalike, and so on) are configured for the workspace
- For Traffic playbooks, the workspace Website URL is correct
- For Lead playbooks, an Instant Form is created in Meta and synced into Flamel
Add the workspace to Flamel Billing and set the budget
Go to Billing > Budgets and find the new workspace. Enter the monthly amount and save.
This creates the Stripe subscription
Saving the budget is what creates the workspace's Stripe subscription. The workspace shows as Active in Billing > Budgets once the subscription is live.
Send the onboarding call link

Share the franchisee's Calendly link so they can book their 1:1 kickoff call. The remaining two steps happen live on that call.

These last two steps are completed by the franchisee (the Workspace Owner) with the Hub admin guiding them.
Walk the franchisee through the two actions on the call so nothing stalls after you hang up.
Guide them to add a payment method
Share your screen or stay on the line while they open Billing > Payment Method and add a card or ACH bank account.
Confirm their first playbook opt-in
Make sure they reach Paid Social Ads > Playbooks > Shop, pick the right playbook for their location, and submit. Once they opt in, the workspace is fully live.
Add your payment method
Open Billing > Payment Method and click Add card (or choose ACH). This is the card Flamel uses for your monthly ad budget.
Opt into your first playbook
Go to Paid Social Ads > Playbooks > Shop, pick the playbook your Hub recommends, customize the media if your Hub allows it, and submit. Your ads go live on the schedule built into the playbook.
