Playbook Email Notifications

Every automated email a playbook sends for opt-ins, reminders, and reviews: who receives it, when it repeats, and how to control it.

For Hub Admins and Workspace Members

Flamel sends a handful of automated emails as a playbook moves from "available" to "opted in" to "live." These pages explain every one: what sets it off, who receives it (and who does not), how often it repeats, what to do about it, and how to turn it off.

Playbook emails fall into two families. Start with the one you need:

Who Receives Playbook Emails

Reminders never go to Hub Admins by default

Opt-in announcements and reminders go to a workspace's own people, not to Hub Admins simply because they run the hub.

A Hub Admin can fine-tune exactly which of a workspace's members receive reminders wherever a recipient preview is shown (see Choosing who receives reminders). That choice is saved per workspace and reused by every later send, so the preview always matches what actually goes out.

Settings and Controls

Silence Emails

Each playbook has a Silence emails control. When it is on, Flamel does not send that playbook's announcements, opt-in reminders, or review reminders. Use it for a playbook you are testing or staging.

Hub Media-Review Recipients

The people who receive "awaiting approval" emails are the Hub's media-review recipients. Configure them from the Hub Opt-Ins page or from Notification Settings.

An individual playbook can add more recipients on top of these, but cannot remove them.

Choosing Who Receives Reminders

Wherever a reminder preview is shown, a Hub Admin can choose which of a workspace's assigned members receive reminders. Only that workspace's own enabled members can be picked, no outside email addresses and no Hub Admins.

  • Leaving everyone selected means members added to the workspace later are automatically included.
  • The selection is saved for that workspace and reused by manual reminders and the automatic cadence alike, so the preview always matches the real send.

Previewing Recipients Before Sending

Before sending a manual reminder (single workspace or bulk), the preview lists exactly who will be emailed. Use it to confirm the right people are covered, and adjust the selection above if not.

Why Did an Expected Email Not Arrive?

If someone expected a playbook email and did not get it, one of these usually explains it:

  • The workspace has already opted in (opt-in reminders skip it).
  • The workspace is not in the playbook's audience.
  • The playbook is turned off or its opt-in window has passed.
  • The review action is already resolved (approved, resubmitted, or deployed), so review reminders stopped.
  • Silence emails is on for the playbook.
  • The intended recipient's account is disabled, so they are not an eligible member.
  • The workspace has no assigned members and no reminder contact configured, so there is no one to email.
  • The address is filtered by the recipient's own email settings or spam handling.
